Campaign Manager
Millbrook School seeks a strategic, detail-oriented, and mission-driven campaign manager to join its advancement team through the life of Millbrook’s For All capital campaign, the school’s most ambitious campaign to date, and beyond. This is a fantastic opportunity to join the ground floor of a $150 M+ campaign and gain extensive experience in operations, strategy, and donor engagement.
This new role is responsible for coordinating and supporting all aspects of the campaign’s day-to-day operations, providing critical infrastructure for Millbrook’s director of advancement, head of school, the advancement team, and campaign volunteers.
The campaign manager will also support Millbrook’s 1931 Society efforts by coordinating communications, stewardship, and record-keeping for legacy donors, working closely with leadership and gift planning staff.
Key Responsibilities
Campaign Coordination & Strategic Support (70-75% of role)
- Partner with the director of advancement and leadership giving team to support the planning and execution of all campaign-related strategies.
- Serve as the primary liaison for the Advancement Office with campaign counsel, coordinating deliverables, updates, and support materials.
- Prepare and maintain prospect research profiles, campaign tracking documents, and strategic reports using Raiser’s Edge NXT.
- Draft, format, and distribute meeting materials; take detailed meeting minutes; track next steps for all campaign-related meetings and committees.
- Work closely with the special programs coordinator to plan and execute all campaign-related events, including cultivation dinners, receptions, and donor recognition gatherings.
- Support the travel planning and scheduling needs of the director of advancement, head of school, and leadership giving team to facilitate donor engagement.
- Collaborate with the Head of School Office to coordinate Advancement Office communications and reporting updates.
- Assist in preparing strategic materials and presentations for board meetings, campaign committee meetings, and leadership donor cultivation activities.
- Liaise with the director of advancement services to create, update, and produce accurate campaign reports, dashboards, and projections.
- Oversee the drafting, coordination, and tracking of gift agreements and work closely with advancement leadership to manage the assignment and fulfillment of named gift opportunities.
- Assist with Annual Fund operations related to the campaign, including tracking and integrating Annual Fund gifts into broader campaign totals.
1931 Society Support (20–25% of role)
- Coordinate 1931 Society stewardship activities, communications, and event support in partnership with Advancement leadership and gift planning staff.
- Maintain updated records of 1931 Society members in collaboration with the Director of Advancement Services.
- Assist with the documentation, recording, and acknowledgment of planned gifts as part of the campaign’s recognition efforts.
- Provide administrative support for 1931 Society events, reports, and donor outreach efforts.
- Steward 1931 Society members with timely, personalized correspondence and recognition materials.
- Collaborate with advancement colleagues to ensure planned giving communications align with broader campaign messaging.
Additional Responsibilities (5% of role)
- Provide general support to advancement initiatives, including mailings, data coordination, and events as needed.
- Stay informed of best practices in campaign management and advancement operations to improve systems and processes.
- Perform other duties as assigned by the director of advancement.
Qualifications
- Bachelor’s degree required.
- 4+ years of experience in advancement, development, or nonprofit campaign support.
- Experience working in an independent school or higher education setting preferred.
- Familiarity with capital campaigns, major gifts strategy, and planned giving programs.
- Strong proficiency with Raiser’s Edge NXT or similar CRM; comfort with data analysis and reporting.
- Exceptional organizational, writing, and communication skills.
- High attention to detail and the ability to manage multiple tasks with competing deadlines.
- A collaborative spirit, resourceful mindset, and sense of humor.
- Discretion and professionalism in handling confidential information.
- Availability to travel or work evenings/weekends occasionally in support of campaign efforts.
The salary range for this position is $65,000- $70,000. When determining placement in the salary range, Millbrook School considers education, total experience, and other factors permitted by law.
