Advancement Database Manager
The advancement database manager will report to the director of advancement services and is responsible for stewarding and maintaining all electronic and archived advancement records. Under the direction of the director of advancement services, this role will establish and implement best practices for data management while supporting the reporting and research needs of the advancement team, including the leadership giving team and the director of advancement.
The Advancement Database Manager will be responsible for maintaining and updating the database to ensure data integrity and accuracy. This role will also create systems that offer checks and measures to support biographical integrity moving forward. This position is a non-exempt, 12-month position, 35 hours per week.
Key Responsibilities
- Database management and gift processing
- Use Blackbaud/Raiser’s Edge/NXT to enter and track data, run reports, and generate queries.
- Perform year-end reporting tasks such as code updates and report generation.
- Maintain accurate electronic and paper files for all development efforts.
- Set up tracking for appeals and provide related reporting as requested.
- Support the maintenance of incoming gift correspondence following the document retention schedule.
- Scan all donation paperwork and coordinate daily gift consolidation with the director of advancement services and the Business Office.
- Oversee the transfer of constituent data between the advancement database and Blackbaud's CORE to ensure accurate and up-to-date contact information.
- Maintain database and oversee the integrity of information.
- Perform daily address updates in the database based on team information and returned mail.
Annual Fund and Leadership Giving Support
- Generate all lists and reports required for Annual Fund appeals, both digital and paper.
- Track appeals and provide related reporting as requested.
- Assist the leadership giving team with data tracking, reporting, and data mining in Raiser’s Edge.
Annual Reporting
- Prepare and distribute DASL, NAIS, and VSE survey data annually.
- Generate statistics for the Annual Report, including donor names, participation percentages for classes and parents, and other donor categories.
Other Responsibilities
- Assist with advancement events as assigned.
- Support in-house mailings, including appeals, and maintain stationery inventory, ordering supplies as needed.
- Participate in school-wide activities and general staff support as assigned.
- Perform additional duties as directed by the director of advancement services.
Education and Qualification Requirements
- An associate's degree is required.
- Experience in a related field is preferred.
- Ability to maintain confidentiality in addition to being able and willing to collaborate.
- Strong computer skills with the ability to learn new systems quickly, including experience with MS Office and Google
- Experience with donor/gift database systems, preferably Blackbaud (Raiser’s Edge, NXT).
- Strong oral and written communication skills.
- Basic knowledge of accounting practices and money handling experience.
- Ability to multitask and work with constant disruptions.
- Strong organizational skills and keen attention to detail.
- Patience and a sense of humor.

- Must possess sight/hearing senses or use prosthetics that will enable these senses to function adequately so that the requirements of this position can be fully met.
- Ability to work in person, on campus.
- Must function independently.
- Must be able to lift, push, pull, and move equipment, supplies, etc., without restrictions.
The salary for this position is: $22.00 - $25.00 per hour. Placement in the salary range is based on experience, education, and all other factors permitted by law.
